Questions from the yard and the fleet office
Does it track where our vessels or vehicles are?
No. CaptivaHQ does not do vessel tracking or telematics and does not replace them. It holds the asset record — hours, service history, parts, certificates — and can receive data from those systems through webhooks and the REST API, so a service interval that comes due can open a work order on its own.
Can it hold crew certificates and flag the ones expiring?
Yes, as records against the person. Licenses, medical certificates, safety training and endorsements are stored on the crew member with the expiry dates the system watches, so a lapsed certificate is flagged before a rotation is planned around it. It is not a flag-state or class compliance framework; it is where the evidence lives.
We already use QuickBooks. Do we have to give it up?
No. Keep QuickBooks for the books. CaptivaHQ runs the operation — the job, the parts, the crew, the paperwork, the invoice — and hands invoice and payment data to your accounting through the automation module’s integration steps, webhooks and a full REST API.
How long before we’re actually running on it?
Setup is measured in days, not quarters. Fields and labels are customizable without code, CSV import is built into every module, and the onboarding team maps your assets, customers, parts and open jobs onto CaptivaHQ. Most operations start with one vessel class or one yard and widen from there.
What happens to the data we already have?
It comes with you. Assets, customers, parts and open jobs import from CSV, which is what most maintenance packages and every spreadsheet export. The onboarding team maps your fields onto ours, and because labels are customizable the system adopts your vocabulary rather than the other way around. It stays your data throughout, and you can export it at any time.
