What you earn, and the rules that decide it
Commission basics
You earn a share of what referred customers pay for their CaptivaHQ subscription, for the period set in your approval. Your rate and that period are set per partner, stated in your approval email and shown in your partner dashboard.
Commissions are calculated on amounts actually paid, after any discount, excluding taxes, refunds and chargebacks, and are paid monthly by bank transfer in US dollars once earned.
The full terms are in the Affiliate Program Agreement. If your approval terms and the Agreement differ on rate, duration or discount, your approval terms apply.
Key rules
- 90 daysAttribution. A click on your link counts for 90 days. The last partner link clicked before signup wins; a code typed at signup takes precedence.
- 90 daysRetention. No commission if the customer cancels within 90 days of their first paid invoice, or never pays.
- 30 daysHold. Each commission is held for 30 days after the invoice is paid before it becomes payable.
- USD 50Minimum payout. We pay monthly once your payable balance reaches USD 50; smaller balances roll over.
- HonestFair promotion. Disclose that you earn a commission. No spam, brand bidding, cookie stuffing or self-referrals.

Partner questions, answered
Who can become a CaptivaHQ partner?
Individuals and organizations who are at least 18 and able to enter a binding contract — consultants, agencies, accountants, IT providers and anyone whose clients need a better way to run their business. You apply online, we review every application, and approval is at our discretion.
How much commission will I earn?
Your commission rate and how long it applies to each referred customer are set per partner. Both are stated in your approval email and shown in your partner dashboard. Commissions are a share of what referred customers actually pay for their subscription, after any discount, excluding taxes, refunds and chargebacks. We do not guarantee any level of signups or income.
How are referrals tracked?
Opening your referral link sets a first-party cookie that lasts 90 days. If the visitor creates a CaptivaHQ account within those 90 days, the signup is attributed to you. If they clicked more than one partner's link, the last one before signup wins, and a code typed in at signup takes precedence over a cookie.
When and how do I get paid?
Once a month, by bank transfer in US dollars. Each commission is held for 30 days after the invoice is paid, and for a customer's early invoices until 90 days after their first paid invoice. We pay when your payable balance is at least USD 50; a smaller balance rolls over to the next month. A valid W-9 or W-8 tax form must be on file before we can pay you.
What if a referred customer cancels?
No commission is earned for a customer who never pays, including one who cancels during a trial, or for a customer who cancels within 90 days of their first paid invoice. After that, only a refund or chargeback reverses the commission tied to that invoice.
Can the customers I refer get a discount?
Some partner codes carry a discount for new customers. If yours does, the discount and its duration are shown in your partner dashboard and applied automatically at checkout. Promote only that discount, and never invent or combine offers.
What can I see about the customers I refer?
Your partner dashboard shows each referral's company name, signup date, plan and status, plus your commissions and payouts. You get no access to a customer's account, records or personal data.
Are there rules for how I promote CaptivaHQ?
Yes. Disclose your affiliate relationship wherever you recommend CaptivaHQ, and do not send spam, bid on the CaptivaHQ brand in paid search, use cookie stuffing, refer yourself or make claims about features, pricing or compliance beyond what CaptivaHQ publishes.
